Download address book in Outlook 2010 and 2013 In Microsoft Outlook 2010 and 2013, you can easily download the offline address book of your Exchange account with following steps. Step 1: Select any folder of Exchange account in the Navigation Pane, and then click the Send/Receive Groups > Download Address Book on the Send / Receive tab.
- If your email account is configured so that you can use Outlook Web Access, or OWA, to send and receive email, you can also use the Web-based application to download your global address book.

Open your Web browser and open your mailbox in the Outlook Web Access site. Enter your login information if requested.

Click 'Tools.' Click 'Send/Receive' and then choose 'Download Address Book.'

Choose the option you prefer beneath 'Information to Download.' Choose 'Full Details' if you want all information for each contact to be downloaded into the off-line address book. If you are using the Cached Exchange Mode, Microsoft recommends this option.

Choose a location where you wish to save your global address book and click 'Download.'

If your company hosts its email system using Microsoft Exchange, you have the benefit of a centrally-managed address book called the Global Address List, or GAL. Maintained by your IT department and stored on the Exchange server, the GAL usually contains names, addresses and email information for everyone in your organization with a company email address. If your company is moving from Exchange to another email system, or if you want a quicker response time when addressing emails, you can also add items from the GAL to your locally-stored contacts folder in Outlook.

Manually Download Global Address Book Outlook 2010
Launch Outlook and click “New” to open a new email window.

Click the “Address book” button, and then select 'Global Address Book' from the “Address Book” pull-down menu.

Highlight all the entries that you’d like to export to your local contacts folder. To export the entire GAL, press “Ctrl-A” to select everything, including any distribution groups. To select a range, click the first item in the range, hold down the “Shift” key, and then click the last item.

Right-click the highlighted items and select “Add to Contacts.” The process could take a few minutes, depending on the number of entries you've selected and your network connection speed.
Tip
- When run in Cached Exchange Mode, Outlook downloads a copy of your mailbox and the GAL from the Exchange server for offline use. Usually, the server is set to push out updates to the GAL automatically every 24 hours. While enabling Cached Exchange Mode will not store a copy of your GAL entries in your local contacts folder, it does provide you with offline access to the GAL. If your Exchange administrator has enabled Cached Exchange Mode on the server, you can take advantage of the feature by clicking “File | Account Settings | Account Settings... | Email tab.” Select your account, click “Change,” and then check the box next to “Use Cached Exchange Mode.” Restart Outlook for the changes to take effect.
Warnings
- Any additions or updates that your Exchange administrator pushes out to the GAL will not affect your local contacts list. Therefore, if you plan on using your local contacts list instead of the GAL, plan on repeating this process on a regular basis to ensure that your contacts list stays up to date.
- Information in this article applies to Microsoft Outlook 2010 and Microsoft Exchange Server 2010. Procedures may vary slightly or significantly with other versions.
